Phase 1 encompasses Work Groups that have numerous Conference Calls per week

Work Group Co-Chairs,

Based on the volume of conference calls, about 15 Work Groups have been selected as candidates for HL7’s initial rollout of Zoom accounts for remote conferencing.

Co-Chairs of those 15 Work Groups:  In the table below, enter whether you want to move to a Zoom account (yes/no), add your name and the date you filled in your answer.

If you’d like to move from your current conference call/screen sharing platform to a Zoom account provided by HL7, the PMO can take the next steps to make that happen. 

If you’re satisfied with your current set up, that’s fine, moving to Zoom is not required at this time.

The PMO will check the table periodically and reach out to those that want to move to Zoom.

  1. For now we would like to wait a bit and see the experience of other WGs using Zoom, as our current platform (GoToMeeting) has been satisfactory (except one issue - see #5 below)
  2. Some WGs, like ours, have several “sub" WG calls throughout the week
  3. Can the Zoom account accommodate more than one WG's meetings and sub-meetings simultaneously?
  4. Can a WG have more than one account (due to #2 above)?
  5. How good is Security?  We have been using GoToMeeting and if not using a Password to get in, we have occasionally gotten a "bot" that starts playing music and making it impossible to converse

Outstanding question regarding one FM call:
Should the weekly CARIN call on Monday also reference this new Zoom account, or will it continue to use the Zoom account specified in the current calendar entry?

Would like to migrate on 4/7 or later to give WG time to adjust, and after getting consensus on the Zoom Privacy Policy and Terms of Service, which I suggest that all WGs considering Zoom licenses review.  There seem to be some "gotchas" and ability to opt-out of certain downstream data collection and usage.

Like OO, we would like to pilot "breakout room" functionality so we only create 1 Zoom account for multiple FM sub-WG calls. Question - how are the participants counted? Across all calls?  Because we have influx of participants for different projects so hard to tell whether we need a license for more than 100 participants.  If we say <100 for now, can we change that later if we find that we need it?

We would be happy to test breakout rooms as well.


We would be happy to start to as soon as Monday with at least one of our calls and get the others switched over as we determine how to organize breakout rooms, i.e., which calls are main and which ones are breakout.  If you provide some guidance, we probably can figure out which ones should be breakout of what (we are thinking meetings that are currently right next to each other).

But I'm not finding information about how that works.  Bummer that Zoom doesn't track participants without making them register.  We depend on the FCC roster to make sure we have the roll done correctly, and also to track lurkers.

Phase 2 Work Groups that are interested in piloting the 'shared Zoom accounts'

Phase 2: Ideally, we'd like to provide shared Zoom accounts to be used by WGs that meet infrequently.  Phase 2 will begin at a yet to-be-determined date.
HQ is investigating how this process will work.  We're hoping a shared calendar of the available accounts can be created in the Confluence/Jira space
